Therapy Centre Management Software in India: 7 Features Every Owner Should Look For

Running a therapy centre is not the same as running a salon or a clinic with one doctor. You have therapists with different specialities, children on 12-week plans, parents who want to know whether their child is improving, and a front desk that spends the morning on the phone.

Many centres start with a paper register, an Excel sheet and a WhatsApp group. That works until the third therapist joins, a second branch opens, or a parent asks, "Is my child actually getting better?"

This guide explains what good therapy centre management software should do, in the order that matters most to owners, and how Slotizen approaches each part. It applies whether your centre offers occupational therapy, speech therapy, physiotherapy, special education, play therapy, sensory integration therapy, behaviour therapy for autism, ADHD therapy, counselling, or a mix of these.

Why a calendar app is not enough

A general booking app answers one question: who is free at 4 pm? A therapy centre needs to answer more:

  • Which plan is this session part of, and what goal are we working on today?
  • Has the client improved since the last review?
  • Which parent still hasn't confirmed tomorrow's session?
  • Who was present this month, and what should they be paid?

If those answers live in four different places, someone is re-typing the same information every day. The right software connects them, so one booking leads to one session, one set of notes, one progress record and one payslip entry.

Here are the seven features that make the biggest difference.

1. Scheduling you can trust

Scheduling comes first because every other part of the centre depends on it. A good schedule for a therapy centre should:

  • Check for clashes before it saves. A therapist should not be booked twice for the same time.
  • Handle recurring sessions. Most therapy is weekly or several times a week. Typing twelve separate bookings is slow and easy to get wrong.
  • Respect real life. Leave, half-days, holidays and a therapist's start time should all be taken into account.
  • Support group sessions. Social skills groups, special education classes and group therapy are normal in a centre.
  • Be quick to change. Rescheduling should take seconds, not a phone call to the therapist and a note on the register.

How Slotizen does it. Slotizen checks every booking for conflicts before it is saved, across individual, recurring and group sessions. If you book a weekly series and one date clashes, the whole series is refused and the clashing dates are shown with the therapist's name, so you fix it once instead of discovering a gap in week seven. Leave, half-days, holidays and staff start times are respected, the front desk can drag a booking to a new slot, and bookings can be marked as New, Assessment, Re-assessment, Follow-up or Trial so important visits stand out on the grid. The day and week views export to Excel or PDF.

2. Treatment plans with clear goals

Therapy is about change over time. Software that only records appointments cannot show change. You need a place for each client's plan, goals and progress.

Look for:

  • a plan per discipline, so occupational therapy, speech therapy and special education can each have their own goals for the same child
  • goals with a baseline and a target, not just free-text notes
  • a library of ready goal templates, so every therapist does not start from a blank page
  • progress recorded during or just after the session

How Slotizen does it. Treatment plans are built around goals measured as a number, a percentage, a rating or a yes/no. Each goal has a baseline and a target. Therapists record progress in the session, a goal is marked achieved when the target is reached, and a trend view shows the movement. Plans can be created for occupational therapy, speech therapy, physiotherapy, special education, mental health and rehabilitation. Centres that run behaviour programmes can also switch on an optional ABA trial-data module, currently in pilot, where a therapist scores each trial with one tap and the graphs build themselves.

3. WhatsApp appointment reminders that run on their own

For most families in India, WhatsApp is the channel they actually read. A reminder by email or SMS is easy to miss; a WhatsApp message usually isn't.

Reminders matter because therapy depends on regular sessions. Every missed slot is lost revenue for the centre and lost momentum for the child. The hidden cost is the front desk: someone has to phone families each morning to confirm.

A good reminder system should:

  • send messages automatically after the booking is saved
  • avoid sending the same reminder twice
  • reach clients who do not have a login
  • let families confirm or ask to reschedule without calling
  • let you decide which channels go to clients and which go to staff

How Slotizen does it. Reminders are rule-driven and sent over WhatsApp, with email, SMS and in-app notifications available alongside it. Duplicate sends are blocked, clients do not need an account, and a channel grid in Settings lets the owner choose what goes to clients and what goes to staff.

We do not publish "minutes saved" claims here, because they depend on your centre. The simple test is to count how many reminder calls your front desk makes in a week today.

4. A progress view you can walk parents through

Parents do not just want a schedule. They want to know if their child is improving. If your only answer is a verbal summary at the door, the answer is usually forgotten by evening.

A good client progress view should show:

  • how many sessions were booked and attended
  • each goal and whether it is on track or behind
  • trends over time, not just the latest score
  • a short summary written in plain language
  • something a parent can keep, such as a PDF report

How Slotizen does it. Each client has a progress dashboard with session and booking numbers, goal trends, a plain-language summary and a PDF report. The summary cards can be edited per client, so the wording suits the family. Notes, transcripts and AI-written text are kept out of what a family sees.

A PIN-protected link, so a parent can open the dashboard on their own phone without a login, is being prepared and will be released after privacy review. Until then, centres walk families through the dashboard and hand over the PDF.

5. Staff attendance and payroll without month-end arguments

Staff are the biggest cost in a therapy centre, and the area where disputes start. "I was present that day." "The register says half-day." "Why was my salary lower?"

Good software should:

  • record attendance automatically, for example from a biometric device
  • treat late arrivals, half-days, leave and holidays consistently
  • calculate salary from those records using rules you can read
  • produce a payslip that shows how the number was reached

How Slotizen does it. Punches from biometric devices become daily attendance. For monthly salaries, Slotizen works out paid days using your rules: how a day is valued (calendar days, working days or a fixed 30), whether public holidays are paid, whether unmarked days count as present or absent, and a late fine per late day. Approved leave and half-days are counted correctly. The payslip PDF shows an attendance summary, unpaid days, a short "how it was calculated" line and a clear NET PAY.

Slotizen calculates monthly salary from attendance. It does not handle overtime pay, and it is not a statutory payroll or tax-filing tool, so provident fund and tax filings stay with your accountant.

6. Reports and numbers an owner can trust

Owners ask simple questions: How did we do this month? Who owes us money? Which clients have stopped coming? Which therapists are busiest?

If the answer takes a weekend in Excel, you will not ask often enough. Look for software where the screens and reports agree with each other.

How Slotizen does it. The Analytics page shows bookings and revenue for a period alongside the previous period, in your own time zone. Five reports, each with a PDF:

  • Clinic Performance: sessions, patients and service breakdown
  • Staff Productivity: every active therapist with their bookings and sessions
  • Client Activity: each client's visits, last and next visit, and whether they are new, returning or lapsed
  • Revenue: money collected by payment date net of refunds, and overdue fees grouped by how late they are
  • Appointment Register: a filterable list of bookings

Revenue figures are visible only to users you give that permission.

The Client Activity report is a quick way to find lapsed clients before they drift away, which is cheaper than finding new ones.

7. Privacy controls you can actually see

Therapy records are sensitive, and many of your clients are children. Owners should expect more than a password.

Look for:

  • permissions per user that are enforced by the server, not just hidden on screen
  • two-factor sign-in
  • consent recorded per client
  • encryption of stored data
  • an audit trail, so you can answer "who changed this?" and "who opened this child's file?"

How Slotizen does it. Permissions are set per user and enforced on the server. Owners get an Audit Logs page that records sign-ins (including failed attempts), user changes, payments, payroll, attendance corrections, data exports and more, plus a separate Patient data access tab showing who opened clinical records. Sign-in supports two-factor authentication, and sessions log out automatically after 15 minutes of inactivity.

A note on compliance. Slotizen's controls are designed around India's Digital Personal Data Protection Act, 2023 and the HIPAA Security Rule. These are engineering controls, not a certification: Slotizen has not undergone a formal HIPAA, DPDP or SOC 2 audit. Not every clinical area is covered by the access log yet. Read the Trust page for the current position and ask any vendor, including us, exactly what is and is not covered.

A note on AI

Writing session notes takes therapist time that could go to clients. Slotizen offers AI-assisted session transcription and clinical summaries on plans that include it, with two safeguards:

  • the client's consent is required first
  • a person always reviews the text before it is saved

AI is there to save typing, not to make clinical decisions. Check which plan includes it; AI transcription is available from the Growth plan upward.

How Slotizen differs from a typical booking app

A calendar-only booking app Slotizen
Built around A calendar slot The course of therapy: plan, goals, sessions, progress
Recurring and group sessions Often basic Conflict-checked, all-or-nothing for a recurring series
Reminders Email or SMS WhatsApp first, with email, SMS and in-app
Progress for parents Not part of the tool Dashboard and PDF report per client
Staff attendance and payslips A separate tool Same system as the schedule
Pricing Varies In INR, per centre, with WhatsApp and Razorpay payments built in

We are not saying other tools are bad. A simple calendar is the right choice for some practices. This comparison is for owners who run multi-therapist centres and want fewer disconnected tools.

A short checklist for choosing software

Before you commit to any system, ask:

  1. Can it schedule recurring and group sessions and warn me about clashes?
  2. Can I record goals with a baseline and a target for each discipline we offer?
  3. Does it send WhatsApp reminders automatically?
  4. Can I show a parent progress, not just attendance?
  5. Does it connect attendance to salary, with a payslip my team can read?
  6. Can I see who changed or opened a record?
  7. Is the pricing clear, and can I import my existing clients and bookings?
  8. Can I try it with real data before paying?

If a tool fails two or three of these, you will probably end up running a spreadsheet next to it.

Frequently asked questions

Is Slotizen only for one type of therapy? No. It is built for centres offering occupational therapy, speech therapy, physiotherapy, special education, mental health and rehabilitation, including centres that offer several of these.

Can we move our existing client list across? Yes. Clients, staff and bookings can be imported in bulk, and your data can be exported at any time.

Do parents need to install anything? No. Reminders arrive on WhatsApp. Parents do not need an account.

How much does it cost? Plans start at ₹3,999 per clinic per month, and annual billing saves 20%. A 30-day trial with every feature follows a demo. See the pricing page for current plans.

Is it HIPAA or DPDP compliant? Slotizen's controls are designed around the DPDP Act 2023 and the HIPAA Security Rule. It has not had a formal audit, so we do not call it certified. See the Trust page for details.

See it with your own schedule

The best way to judge software is to look at your own week in it: your therapists, your sessions, your reminders. Book a demo and we will walk through scheduling, treatment plans, WhatsApp reminders and the progress dashboard using your centre's setup.
